The incumbent in this position serves as the first point of contact for visitors, clients, internal and external stakeholders, who require information or need support with their settlement. They play a key role in creating a welcoming environment, managing communication within an organization, providing administrative support, ensuring smooth front-desk operations and ensure that services are delivered smoothly and respectfully. <strong> </strong></p><p><strong>Expected Compensation:  </strong></p><p>Gross salary will be $ 23.85 per hour based on <strong>22.5</strong> hours per week. All payments are subject to the required statutory employee deductions.  </p><p><strong>Customer Service </strong></p><ul><li>As first point of contact greets in-person clients/visitors/volunteers, provide them with information on organization programs and services or direct them to appropriate departments. </li><li>Answer and direct telephone inquiries to appropriate people and provide general information to clients and the public. </li><li>Operate the main switchboard, screen and direct call to appropriate person/department. </li><li>Collaborate with program staff to ensure smooth client intake and service delivery. </li><li>Assist with client inquiries regarding services, referrals, and resources, and schedules. <strong> </strong></li></ul><p><strong>General Office Administration </strong></p><ul><li>Maintain a safe, clean and welcoming reception area by complying with procedures, rules and regulations. </li><li>Prepare, maintain Centre program materials and information as well as providing this information to visitors. </li><li>Oversee meeting room schedules and update the information daily. </li><li>Provide administrative support for the Centre. </li><li>Maintain security by following procedures and monitoring logbooks. </li><li>Support work-team continuity by documenting and communicating actions, irregularities, and ongoing needs. </li><li>Adhere to opening and closing procedures. </li><li>Must maintain confidentiality in respect to client matters. </li><li>Prepare and submit accurate reports. </li><li>Perform other duties as assigned.  </li></ul><p><strong>Other: </strong></p><ul><li>Participate in agency fundraising activities as deemed appropriate and necessary by Senior Leadership. </li><li>Attend required agency activities and meetings. </li><li>Must support the values, vision and mission of the agency and the matrix management group. </li><li>The incumbent must be bondable and cleared by a police reference check. </li><li>Must be able to work in the evening until <strong>8:30 p.m. </strong>and Saturdays until <strong>4:00 p.m.</strong> </li><li>Maintain professional working relationships with teams, partners and community groups. </li><li>A valid driver’s license would be an asset.  </li></ul><p><strong>Qualifications: </strong></p><ul><li>A secondary school diploma or equivalent; post-secondary education in social services or administration is an asset. </li><li>A minimum of one-year direct experience in settlement setting working with diverse population. </li><li>Excellent customer service orientation, aptitude for working effectively and sensitively with people from diverse cultural backgrounds. </li><li>Excellent in managing time, workload and able to work within the framework of established policies and procedures. </li><li>Use sound judgement and decision-making skills. </li><li>Ability to multitask and remain calm in a fast-paced, client-facing environment. </li><li>Ability to handle sensitive situations with discretion and empathy </li><li>Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook). </li><li>Verbal and written fluency in English is required, ability to communicate in second language would be an asset.  </li></ul><p><strong>Physical Requirements</strong> </p><ul><li>Sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.  </li></ul><p><strong>Use of Artificial Intelligence in Hiring: </strong></p><p>Artificial intelligence is not used to screen, assess, or select applicants for this role. </p><p><strong>Accessibility & Equal Opportunity </strong></p><p>We are committed to providing an inclusive and accessible recruitment process.
